Executive Assistant to Managing Partner
This position provides administrative and clerical support primarily for the Managing Partner as well as others in the organization. In addition to typing, filing and scheduling, performs duties such as record keeping, coordination of meetings, coordinating communications (email, phone, virtual meetings, etc.) and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload.
Requirements and Responsibilities
* Assists with tracking claim payments, fee payments and creating invoices
* Assists with creating contracts, Fee Deferrals, Power of Attorney, Fee Disbursement Agreements
* Performs administrative and clerical tasks
* Assists with communication and documentation regarding status of claims/matters
* Facilitates follow up calls and meetings in accordance with our standard guidelines
* Scribing notes during meetings both internally and with customers
* Assist with pro-active client outreach initiatives
* Documents correspondence with clients and related activities in the ProLaw system
* Assists with overseeing and managing tasks related to claim/matter completion
* Some claims/matters may require after-hours support
* Responsible for Employee Goals Management tasks associated with your employee role in the annual performance review and goal setting process
* Observe all company safety and health rules and apply these in all day-to-day activities

* Strong computer skills, including Microsoft Office (Excel, Word,etc) and Adobe
* Makes independent decisions and self-supervises; recognizes when assistance is needed and obtains it

* Ability to handle stress and meet tight deadlines while handling multiple priorities
Education, Training, Certifications and Licenses
* High school diploma or equivalent required. Post-secondary education and/or 1-4 years of equivalent experience preferred
* Industry Continuing Education and skill development encouraged
* Notary
Travel, Physical and Other Demands Required
* Must be willing to undergo a background check
* Computer keyboarding
* May occasionally life and/or move up to 25 lbs.
